We respect your privacy. This Privacy Policy describes how World Wide Productions Pty Ltd, trading as martinCRM (“martinCRM”, “we”, “us”) collects, uses, discloses and protects personal information when you visit our marketing website or interact with us about our software product.
1. Who we are
martinCRM is a registered business name of World Wide Productions Pty Ltd ABN 84 068 751 771, an Australian company. We are subject to the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
The Service is offered in Australia to Australian financial-advice practices and is not directed to residents of the European Economic Area or the United Kingdom. See section 5 (International visitors) for what this means if you happen to be outside Australia.
2. Scope of this policy
This policy covers personal information collected through:
- our marketing website at
martincrm.com.au(and its development environment); - email enquiries, sales conversations and waitlist sign-ups;
- analytics tooling embedded in the marketing site.
When you become a customer of the martinCRM SaaS application, additional terms apply to information you and your end users put into the product. Those are described in our Terms of Service. We act as a processor of your customer data under that arrangement.
3. Information we collect
Information you provide
- Contact details — name, business email, firm name and any message you send when you join our waitlist, ask a question, or arrange a demo.
- Account information — once self-service sign-up is available, the email and credentials you use to create an account.
Information we collect automatically
- Server and request logs — IP address, user-agent, referring URL, the page you requested, and a timestamp. We use these to operate, secure and debug the site.
- Product analytics — we use PostHog, hosted in the United States, to understand how visitors use the marketing website. PostHog automatically captures page views and page-leave events, stores a randomly-generated visitor identifier in your browser (in cookies and localStorage), and may receive your truncated IP address. Session recording is disabled, and PostHog respects the browser Do Not Track setting. If you submit your email address (for example, to join the waitlist), we associate your email with the analytics identifier so we can recognise you on return visits and link your enquiry to your activity on this site. PostHog is not used inside the martinCRM SaaS application — see the sub-processor list for scope.
Information we do not collect on the marketing site
We do not knowingly collect sensitive information (as defined in the Privacy Act) through our marketing site. Please do not include financial advice content, client names or any sensitive information in your initial contact with us.
The martinCRM SaaS application does not embed third-party behavioural analytics. Activity inside the application is not transmitted to any third-party analytics provider.
4. How we use information
We use personal information to:
- respond to your enquiry and arrange demonstrations;
- send you product news you have asked to receive (such as a launch-notification email);
- improve our website and the design of our product based on aggregated usage patterns;
- protect the website from abuse and meet legal obligations.
5. International visitors
martinCRM is offered in Australia and is not directed to residents of the European Economic Area or the United Kingdom. We do not actively market the Service to those regions.
If you happen to visit this website from outside Australia, the information we collect about you is the same as for an Australian visitor (see section 3) and is handled in accordance with this policy and the Australian Privacy Principles. If the EU or UK General Data Protection Regulation (GDPR) applies to you and you have a question about our handling of your personal information, please email privacy@martincrm.com.au.
8. Storage and security
The martinCRM application database resides in AWS’s Sydney (ap-southeast-2) region. The marketing website is delivered through AWS’s global content-delivery network and may be cached at edge locations outside Australia.
We use industry-standard safeguards including encryption in transit (HTTPS/TLS), encryption at rest, role-based access controls and tenant-level data isolation. No method of transmission or storage is completely secure; we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) of any eligible data breach as required by the Notifiable Data Breaches scheme.
9. Overseas recipients
We design the Service to keep personal information in Australia wherever practicable. The table below identifies our current recipients of personal information, the country in which each one processes data, and which surface (the marketing website or the SaaS application) the recipient supports. The current authoritative list is at /legal/sub-processors.
| Recipient | Country | Scope | Purpose |
|---|---|---|---|
| Amazon Web Services | Australia (Sydney, ap-southeast-2) | SaaS application + marketing website | Hosting, database, file storage, content delivery |
| Amazon Simple Email Service (Amazon SES) | Australia (Sydney, ap-southeast-2) | SaaS application + marketing website | Transactional and marketing email delivery |
| PostHog Inc. | United States | Marketing website only | Visitor analytics |
Where a recipient processes personal information outside Australia (currently PostHog only, and only for marketing-website visitors), we take reasonable steps to require that recipient to handle personal information consistently with the Australian Privacy Principles. The data the SaaS application stores about your end clients does not leave Australia.
10. Your rights
You may ask us to:
- access the personal information we hold about you;
- correct information that is inaccurate or out of date;
- delete information we no longer need (subject to legal retention obligations);
- stop sending you marketing emails — every marketing message we send includes a one-click unsubscribe link.
To make a request, email us at privacy@martincrm.com.au. We will normally respond within 30 days.
If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC).
11. Children
Our website and product are designed for financial-advice professionals and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
12. Retention
We keep personal information only for as long as it is needed for the purposes described in this policy or as required by law. Waitlist and marketing-contact records are retained until you ask us to delete them or until they have been inactive for two years, whichever comes first.
13. Changes to this policy
We may update this policy from time to time. The “last updated” date at the top of the page reflects the most recent revision. If we make material changes, we will give you reasonable notice (for example, by posting a prominent notice on the website or emailing you).
14. How to contact us
For privacy enquiries, complaints or to exercise any of your rights, please email privacy@martincrm.com.au. We will normally acknowledge your request within 5 business days and respond substantively within 30 days.
